Costs halved by outsourcing IT operations

Viju has halved the costs of its IT operations by outsourcing rather than having in-house employees. The company also has an improved and more modern IT solution as a result.

The Norwegian company Viju is a global specialist in video-based collaboration and audiovisual solutions. The company has 160 employees and is a very customer-centric organisation. Costs are central to the company’s concerns, both in relation to its customers and its own core activities. Rather than having a separate department in charge of IT operations and a dedicated data suite for its hardware, the company has decided to outsource these responsibilities to EVRY.

Viju’s starting point when inviting proposals from potential partners was that it wanted high-quality IT services for as low a price as possible. Viju invited 7-8 suppliers to submit proposals, including EVRY.

“To be honest, I did not expect EVRY to do particularly well because of its size. Yet in reality EVRY’s proposal was very strong and suited our requirements. In addition to offering a high level of service, they had the best solution. The decisive factor was the combination of their local presence, competitive price and high level of IT expertise”, comments Georg Thingbø, CTO at Viju.

Solution
EVRY operates all of Viju’s office support solutions. Viju has a Microsoft Office365 solution managed by EVRY, as well as systems for accounting, file and document management. Despite being a visual communications specialist, the company has also outsourced the Lync collaboration solution to EVRY.

“Although we at Viju are Lync experts, we have chosen to outsource the operation of this service. This is a feather in the cap for EVRY. We want to bring all our IT operations and support together in a single location in order to be able to focus on our market offering and our customers”, adds Georg Thingbø.

Viju’s head office is in Stavanger, and attentive follow-up assistance is provided by EVRY’s regional office based in the city. Georg Thingbø sees this proximity as very valuable: “We are very impressed by EVRY’s ability to deliver stable operations and to provide attentive and high-quality follow-up assistance. The level of service provided by EVRY’s regional office is high, and the company’s size means that we have access to specialist expertise in virtually every area should we need it.”

Outcome
Georg Thingbø anticipates that Viju would have needed around 6-8 IT employees to manage its IT operations and support in-house. The level of expertise required is high, so these would have been highly paid employees. Their salaries alone would have cost around NOK 4-6 million. There would also have been the cost of hardware and software. Georg Thingbø estimates that overall costs would have totalled NOK 5-8 million a year. Viju has halved these costs by outsourcing its IT operations to EVRY.

“Having a separate IT team is expensive for an SME such as Viju. We depend on having a broad range of expertise and a good support function. We have halved our IT operations costs by outsourcing, and our IT infrastructure has also been modernised as a result. This has allowed us to invest in areas where we had fallen behind”, comments Georg Thingbø.

Freeing up resources has meant Viju is able to carry out more IT projects. EVRY has also assisted in this regard, and this has included providing specialist expertise and redesigning Viju’s network. Upgrades have also been made on the client side, for example with investment in Windows Surface tablets.
